In short: we store your recordings and the handful of details needed to run your Library and share your tracks. Recording and mixing happen on your own device. We never sell your data, never use advertising trackers, never create voiceprints and never use your voice to train AI.

1. Who we are

Relaxifi is run by Aperture Media Services Ltd, registered in England and Wales, company number 06543699. Registered office: Marland House, 13 Huddersfield Road, Barnsley, South Yorkshire, England, S70 2LW.

We are the "controller" of your account information under UK data protection law (the UK GDPR and the Data Protection Act 2018). Privacy questions: relaxifi@aperturemedia.co.uk.

Data Protection Officer: we have not appointed a Data Protection Officer. Privacy and data protection enquiries can be sent to relaxifi@aperturemedia.co.uk.

2. Your sound stays on your device while you work

Recording, the sound check, voice styles and music mixing all happen inside your own browser. Your microphone is never streamed to us while you speak. A recording only leaves your device, over an encrypted connection, when you press Save to library.

3. Your voice — no voiceprints

We treat recordings simply as audio files to store and play. We don't use your voice for biometric identification, and we don't create voiceprints or process your recordings for the purpose of uniquely identifying you. We never use your voice or recordings to train AI. We don't routinely listen to your recordings. We may access a recording if you ask us to investigate or resolve a support issue.

4. What we collect, why, and our legal reason

Legal reason: Legal obligation

"Contract" means we need it to provide the service you asked for. "Legitimate interests" means we have a genuine business or security reason for processing the information, the processing is necessary for that purpose, and we have considered your interests and rights before relying on this basis. You can object to processing based on our legitimate interests (see section 12).

5. If you're listening to a shared track

  • You never sign in, and we never ask for your name, email or any other details.
  • When you press play, your browser stores a random code. It lets the creator see how many devices a link has reached. It is not linked to your name, location or identity.
  • If the track has a time limit, your browser notes when you first pressed play so your listening period starts then.
  • We don't follow you around the web or build any profile about you.

6. Cookies and browser storage

We don't use advertising, marketing or analytics cookies or similar tracking technologies. The app's typeface is served from our own site, not a third-party font service. We only use your browser's storage for things the app needs to work: keeping you signed in, remembering your preferences and "don't show again" choices, and the listener codes described above. These uses are intended to fall within the strictly necessary exemption, so we don't use a consent banner for them. Clearing your browser storage removes them.

7. Who helps us run Relaxifi

We use selected third-party service providers to help run Relaxifi:

  • Cloud hosting and storage providers: host the application, database and encrypted storage for your recordings.
  • Content delivery and security network (Cloudflare): delivers the app quickly and protects it from attacks.
  • Authentication provider (Google): verifies your identity when you choose to sign in with Google.
  • Payment merchant of record (Paddle.com Market Ltd): sells the Supporter Pass on our behalf — handling card payments, tax, receipts and renewals. We never see or store your card details.

Where these organisations process personal data on our behalf, we require them to protect it and only process it for the agreed purposes. Some providers may also process certain information as an independent controller under their own privacy policies.

8. Data stored outside the UK

Some of these companies store or handle data in the European Union or the United States. Where data leaves the UK, we rely on UK adequacy regulations or appropriate safeguards, such as the UK International Data Transfer Addendum or other legally recognised transfer mechanisms. You can contact us at relaxifi@aperturemedia.co.uk if you would like further information about the safeguards used for a particular transfer.

9. Recording other people — your responsibility

If you are a therapist, coach or practitioner and you mention a client — their name, health or situation — in a recording, you are responsible for that information under data protection law. Make sure you have an appropriate lawful basis and any necessary permissions or consents before recording, uploading or sharing information about another person.

A share link is a key. Anyone who has it — or is passed it — can play that recording until its licence ends. Send links only to the person they're meant for, and avoid putting sensitive details in recordings. We count devices so you can spot a link that has travelled, but we can't stop a forwarded link.

10. Children

Relaxifi accounts are for adults aged 18 and over, and we don't knowingly collect children's data. If you make a recording for a child or young person, you are responsible for ensuring that you have the appropriate lawful basis and any necessary parental or guardian permission before recording, uploading or sharing it.

11. How long we keep things

  • Recordings and notes: kept until you delete them or delete your account.
  • Daily save records: only the last 24 hours matter; older entries serve no purpose and are not used.
  • Track counts: deleted with the track.
  • Anonymous totals (such as all-time plays): kept with no link to any person.
  • Backups: our hosting provider may retain encrypted backup copies for a limited period for disaster recovery. The exact retention period depends on the hosting service and configuration.
  • Payment and tax records: Paddle processes payment information on our behalf and retains relevant transaction records. We and/or Paddle retain financial records for as long as required by applicable tax and accounting law (usually 6 years).

Delete a track and its audio, note and counts are removed from our active systems straight away. Backup copies, where applicable, may remain for a limited period before being automatically overwritten. Press Delete me and forget me in Settings to remove your account, recordings, notes and share links from our active systems immediately — existing links stop playing. Or email relaxifi@aperturemedia.co.uk and we'll do it for you.

12. Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the information we hold about you;
  • correct anything that's wrong;
  • delete your information;
  • restrict how we use it in certain circumstances;
  • send it to you in a common, machine-readable format.

Your right to object: you have the right to object to processing based on our legitimate interests. If you want to exercise this right, email relaxifi@aperturemedia.co.uk.

Email relaxifi@aperturemedia.co.uk. It's free. We'll normally respond within one month. If a request is particularly complex, the law may allow us to extend this period; we'll tell you if that applies. If you're unhappy, you can complain to the Information Commissioner's Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF — ico.org.uk or 0303 123 1113.

13. If this changes

We'll update this page and the date at the top. If we make a significant change to how we use your data, we'll tell you in the app before it takes effect.
